Use the Complaint as a Process Signal
Turn repeated complaints into process signals instead of isolated agent coaching.
Do not stop at the individual ticket. A service recovery mindset repairs the customer in front of you. A service-excellence mindset also asks what the complaint teaches about the system. Use four questions: What expectation did we create? What standard should have governed the case? What prevented delivery? What customer-facing message needs to change? The answers separate communication gaps from delivery gaps. A team that skips this step keeps writing better apologies for the same failure. The trap is moralizing the failure.
