Run a 10-minute morning Kanban review before replying to new leads. Use this on workdays when you have active jobs, estimates, parts waits, or invoices open. For the next two workdays, before replying to new leads, I will spend 10 minutes reviewing my board columns: New lead, Estimate due, Booked, In progress, Waiting parts, Done-not-invoiced, Closed. My WIP rule is: In progress max 2, Waiting parts max 2, Done-not-invoiced max 1 day. If a limit is exceeded, I clear or update that column before accepting new same-day work.
