Apology, Disclosure, and Next Steps Are Different Jobs

Structure a recovery conversation so the apology, disclosure, and next steps each do clear work.

A good recovery message has three lanes. Lane 1: empathy Start by naming the customer’s disruption, not your internal inconvenience. The customer needs evidence that you understand the impact in their world. Lane 2: what is known now State the known facts plainly. Avoid filler like “we regret any inconvenience” or “we are looking into this” when you can say what actually happened so far.
