From apology fog to accountable warmth

Rewrite an apology so it names impact, ownership, repair, and follow-up timing.

A billing export failed. Watch what changes when the apology becomes a repair note. Before: the note apologizes but leaves the reader with uncertainty. After: the note names impact, owner, repair, and timing. Impact replaced fog. The reader learns the forecast file is incomplete, not just that there was confusion. Ownership replaced passivity. "I am rebuilding it" gives a responsible actor, which plain language recommends for clarity. Timing replaced reassurance. A 4 p.m. send time lowers uncertainty better than "soon".
