Soften Tone Without Burying the Message
Write direct messages that remain respectful without adding evasive padding.
Soft tone should never make the decision optional. You can be kind and unmistakable at the same time. The trick is to remove ambiguity, not warmth. Hedges such as "just," "maybe," and "wondering" often protect the writer's feelings while making the reader's job harder. A better move is to state the decision plainly and add support.
